Compliance

In the context of PPM, compliance refers to ensuring that maintenance activities meet the legal, regulatory, and industry standards that apply to a given asset, building, or piece of equipment, rather than compliance simply being a byproduct of good maintenance practice.

 

Many types of plant and systems are subject to statutory inspection and servicing requirements. For example, fire alarms and extinguishers, emergency lighting, gas boilers, pressure vessels, lifts, electrical installations (fixed wire testing), legionella/water hygiene systems, and asbestos management often carry specific mandated inspection frequencies, competent-person requirements, and certification obligations set out in legislation (e.g., health and safety law), British/international standards, insurance conditions, or manufacturer warranties.

 

A compliant PPM programme is therefore structured so that these statutory and safety-critical tasks are scheduled, carried out by suitably qualified personnel, and properly documented (certificates, test results, sign-offs) to provide an auditable trail demonstrating that legal duties have been discharged.

 

Compliance PPM is often distinguished from "non-compliance" or purely operational/cosmetic maintenance (e.g., repainting, adjusting fittings) precisely because failure to carry it out can expose an organisation to legal liability, invalidate insurance, or create serious safety risks, so it's typically given the highest priority in maintenance planning, tracked separately, and reported on to demonstrate due diligence to regulators, auditors, or senior management.

Compliance tasks are built into the PPM schedule at their legally mandated frequencies, and only carried out by suitably qualified, competent engineers or specialist subcontractors where required.

Inspection & Certification

Each compliance task is completed on-site, with results recorded and the relevant certificates, test reports, or sign-offs issued to confirm the work meets legal and regulatory standards.

Record Keeping & Audit Trail

All compliance documentation is logged and maintained centrally, giving you an accessible, auditable record to demonstrate due diligence to regulators, insurers, or auditors at any time.
